What are Collaborative Notes?

Collaborative Notes are essentially Loop components in Microsoft Teams Meetings that stay in sync across various Microsoft applications like Outlook, Teams chat, Loop app, Word for the web, and Whiteboard. This feature eliminates the common bottleneck of a single note-taker, enhancing accuracy and inclusion throughout the meeting. The notes can be co-edited during the meeting, allowing everyone to participate actively and contribute to the notes.

The power of Collaborative Notes extends beyond the meeting. Before the meeting, you can share the Collaborative Notes in a Teams chat or an email, ensuring everyone can include their topics for review, irrespective of their preferred Microsoft app. After the meeting, these notes can be shared, updated, and assigned with follow-up tasks, all in real-time. This not only maintains project momentum but also drives efficiency within the team.

Making the Most of Collaborative Notes

Implementing Collaborative Notes in your meetings is simple. Just schedule a meeting from Teams and include an agenda. Attendees can then collaborate on meeting notes in real-time, with tasks assigned during the meeting automatically synchronized with Planner and To Do.

Post-meeting, the Collaborative Notes are accessible across Microsoft 365, like in Team chats and Outlook, ensuring that the notes stay updated as changes are made across apps. This fall, Microsoft will further integrate Loop components with OneNote, giving you the freedom to continue editing these notes within OneNote, thus consolidating your meeting notes in one centralized notebook.

Moreover, all assigned tasks are easily viewable in the Tasks app in Teams, as well as Planner and To Do, providing a consolidated view of your tasks.

Key Considerations and Availability

The Collaborative Notes feature is currently in the Public Preview channel, available to everyone. It supports clients and platforms including Windows, macOS, iOS, Android, Linux, and browsers such as Google Chrome, Firefox, Safari, and Microsoft Edge.

However, certain known limitations exist. For instance, Teams doesn’t support channel meetings, ad hoc Meet Now meetings, and 1:1 calls. Mobile clients are not yet supported, but this update is coming soon.

To use this feature, users need to be members of the Teams Public Preview and use the Windows, macOS, or web (Edge, Chrome) Teams client. To enable your Teams client for the Public Preview, IT admins need to set an update policy that turns on Show preview features. Loop components are on by default if you’re running Teams Public Preview builds.
