Microsoft Teams continues to improve its platform, offering users new features and functionalities to enhance their collaboration experience. In this blog post, we will discuss three recent updates: Breakout Rooms Participant Shuffle, Improved Connect/Disconnect Tracking in Group Visits, and Webinar Email Feature Updates. These updates aim to provide users with more control over their meetings, improved reporting, and better engagement with webinar registrants.

  1. Breakout Rooms Participant Shuffle: Maximizing Collaboration and Engagement

Microsoft Teams is introducing a new capability for Breakout Rooms called Participant Shuffle. This feature enables meeting organizers, co-organizers, or Breakout Room managers to randomly assign participants to rooms, even after the rooms are created. This shuffling can be applied to all participants or only unassigned participants, redistributing them evenly to existing rooms. Participants can be randomly reassigned both prior to the meeting or during the live meeting.

The rollout schedule for this feature is as follows:

  • Targeted Release: Mid-May to late May
  • Public Preview: Mid-May to late May
  • Standard Release: Mid-June to late June

This update offers organizers more flexibility when assigning participants to Breakout Rooms, promoting dynamic collaboration and engagement during meetings.

  1. Improved Connect/Disconnect Tracking in Group Visits: Enhanced Reporting and Monitoring

Microsoft Teams has enhanced its ability to track individual Connect & Disconnect events when multiple organizers or guests join a Microsoft Teams EHR Connector visit via Teams. This improvement ensures more accurate reporting on which patients connected and disconnected during group visits when there are multiple patients and/or organizers in a session.

The rollout schedule for this feature is as follows:

  • Preview: Early May to mid-May
  • Targeted Release: Mid-May to late May
  • Standard Release: Late May to early June

No changes are needed from the customer to use this update, as it is designed to improve reporting automatically.

  1. Webinar Email Feature Updates: Customizing Content and Sending Reminders

Recognizing the importance of engaging with registrants, Microsoft Teams is rolling out two new features for webinar emails:

  • Customizable content: Event organizers with a Teams Premium license can now edit the content of webinar-related attendee emails.
  • Configurable reminder email timings: Event organizers with a Teams Premium license can now set the time to send reminder emails.

These updates are scheduled to roll out in mid-June and are expected to be completed by late June. Email customization is governed by an IT admin policy, enabling admins to restrict organizers with Teams Premium licenses from editing email content. This setting is available in Teams Events policy via the Set-CsTeamsEventsPolicy command.

Both features are reserved for users with a Teams Premium license, and the policy to customize content is enabled by default in commercial SKUs.
