Introducing the Virtual Appointment Teams Meeting Template

A new Microsoft Teams Meeting Template, "Virtual Appointment," will soon be available to users, providing an enhanced business-to-consumer meeting experience within the familiar Teams scheduling interface. Ideal for meetings with external participants, the Virtual Appointment template streamlines the scheduling process and offers a seamless experience for attendees.











Why Use the Virtual Appointment Template?

When organizing meetings with individuals outside your organization, the Virtual Appointment template can replace standard Teams meetings to ensure a smooth experience from start to finish. Users can easily select the meeting type, complete the tailored scheduling form with external guest information and meeting details, and send the invitation.

External attendees will receive a customized invitation that includes essential appointment information and a quick-join button, enabling them to join the meeting from any location without needing to download Teams. Participants will also have access to a pre-appointment waiting room before the meeting commences, delivering a familiar experience for internal users and a hassle-free experience for external attendees.

Preparing for the Virtual Appointment Teams Meeting Template

The Virtual Appointment Teams Meeting Template will roll out in April and can be managed from the Teams Admin Center. To control template access, navigate to Teams Admin Center > Meetings > Meeting template policies to show or hide the template based on global and group policies within the tenant. To manage the default value and visibility of Teams Meeting Options within the Virtual Appointment Meeting Template, go to Teams Admin Center > Meetings > Meeting templates > Virtual appointment > Edit and configure options.

As an admin, you may already see these new options, but end-users will not see them in the Teams Client until the rollout. The Virtual Appointment template does not require a Teams Premium license. However, if you have restrictive Teams Meeting Policies in place (particularly around anonymous user settings), you should review them to ensure compatibility with the new template feature. Additionally, if you use the Virtual Appointment App (formerly the Bookings app), you may find it offers more control and options over Virtual Appointments. This template is ideal for occasional users, while HR professionals and other frequent users may prefer the Virtual Appointment App.


Rollout Timeline

Microsoft will begin the rollout in early April and expects to complete it by late May. This rollout window does not affect the Virtual Appointment App, which is already available for use.
